Getting Ready for ISO 9001 Registration

What is the definition of "Quality"? Meeting or exceeding customer expectations. Providing a high level of value, of excellence.
How do you meet your customer's expectations? By asking for & understanding the customer's expectations and SOW. Checking with the customer frequently. By producing quality work.
How do you build quality into your work and projects? Develop & follow Project Mgt Plan. Identify areas where mistakes/problems could occur and plan how to avoid. Follow HCTT Deliverable Checklist: design & strategy review, frequent QC checks, edit/testing, peer & mgmt reviews.
Why is our company trying to get ISO 9001 certification? It will demonstrate that we consistently provide products and services that meet our customer's expectations.
What are your quality objectives? Ensure customer needs are met. Improve processes. Achieve ISO 9001 registration. Ensure consistent and efficient operation and quality through training, quality control and adherence to policies and procedures.
Where are your quality objectives? They are posted on the ISO 9001 section of the Office of Quality website and in the HCTT Project Management Manual.
Where are your procedures? ORAU procedures are found and accessed on the our Intranet, ShortCuts. HCTT program's and group's procedures, instructions, and/or job aids are found on our SharePoint.
How do you get your procedures? We follow procedures issued by our service groups (PCA, HR, FTD, etc.) & HCTT procedures listed in the HCTT Orientation Manual & Project Management Manual. Other procedures are specific to HCTT tasks such as meeting and exhibition set-up.
What training have you had? ISO 9001 web-based training, training on various safety, security, and similar general topics, and specific developmental training – all of which can be found in a list on my HR Employee Self-Service site
What is document control? It is that process that is put in place to formalize the document change and approval process. And it’s to ensure that I’m using the most current guidance or procedure, and the correct version of a document.
Where can you find information about document control processes? We have a document control process for policies and procedures that is described in ADM-100 on the Policies and Procedures section of Shortcuts.
What is your records control? Each organization follows the records control process managed by Pat Veler in FTD. Shirley Wright is HCTT's Representative and we coordinate our document control with her.
What is meant by "records control"? It is evidence that something was initiated, designed, developed, implemented, evaluated, and/or completed.
What nonconformances (mistakes, missed deadlines, etc.) have you identified? Example answers – “I/we found a mistake in the calculations contained in a document after it was delivered to the customer.” “I missed an expected delivery deadline by a few days due to illness.”
What corrective actions have you taken? Example answers –“I notified the customer of the mistake in the calculations and submitted an errata sheet.” “I followed up with the customer to submit the deliverable and presented a plan to ensure that this would not happen again.”
What preventive actions have you taken? Example answers – "We brainstormed potential issues in conducting a new project & planned accordingly. “I reported a suspected phishing email to ITS & Cyber.” “We developed a better process to ensure we delivered reports to the customer on schedule.” “
What are your key processes you use or implement? Example answers – "Review process for customer deliverables",“Preparing final reports for my customer.” “Setting up meetings and conferences.” “Gathering and analyzing data and reporting the results.” “Preparing proposals for new or extended work.”
How does ISO 9001 certification benefit ORAU? Documents ORAU's commitment to quality & continuous improvement. Adds to ORAU's credibility and profile on corporate proposals.
How do you document ongoing projects and closeout completed projects? New project folders are set up on HCTT's Y:drive & HCTT flat file cabinets to store financial & admin documents, status reports & deliverables. A RIDs form is started with Shirley. PM ensures files are complete with deliverable & RIDs form.
