Preparation | read last set of minutes, agenda and any particular reports. "any other business" raise topics that aren't on the agenda. If it involves complicates info and major principle ask to add on agenda. Submit board paper at least 2 working days before. |
Appearance | Dress formally and arrive promptly. Ideal to be at venue at least 5 mins before, 10 min if 1st meeting. Switch off phone during meeting |
Seating plan | simply wait until members are about to be seated and ask where you should sit |
Discussion | Allow the chairman to conduct the meeting by waiting for him to signal the opening of the meeting. Be brief, courteous and relevant wherever possible. Avoid being pompous or stilted in the way you speak. |
Respect | Be respectful to your peers and their views, no matter how much you disagree. Polite and persuasive argument is more effective than sarcasm and personal abuse. |
Conclusions | Make sure conclusions are drawn after each issue. Usually chairman's job but some matters could be left without then you can address the matter in a polite way. |
Confidentiality | Serious breach of etiquette to talk too freely about what went on in a meeting and the reputation of being loose tongue once gained is very hard to shake off. |
Minutes | Drafts of minutes are usually overseen by chairman. However, if you feel like its inaccurate or incomplete you can alert the chairman before the meeting to your concern. |
Disagreement/ withdrawal | If you strongly disagree with a meeting you can withdraw or resign from the meeting. Ask for your withdrawal to be recorded on the minutes. If you decide to resign you should write letter to the chairman stating intention. Even if you leave stay loyal. |
Informal meetings | The convenor- most senior or highest spending authority Convenor should decide time and venue Address purpose of meeting Attendees arrive promptly Short and effective meeting Someone record the decisions Communicate with all that'll be affected |
Impromptu meetings | The most informal meeting, often called by a boss with several of his staff or by a senior manager with his colleagues in other discipline. -Used to unwind or brainstorm new ideas -Can turn more serious than intended |
Business meals | Used to establish new relationships. "theres no such thing as free lunch" the host will probably bring in a topic to be discussed at timing of his choice. The host should invite over the phone and through email/text of venue and should arrive 10 min prior |
Social occasions | 1-Meals at home with associates 2- Business hospitality events 3- Office parties and similar function 4- Weddings and funerals |
Meals at home with associates | - host should check dietary requirements - shouldn't discuss business except in general terms - guest should react amicably to offered food - Guest should bring small gift on arrival and sent flower as thank you afterwards |
Hospitality events | Match the guest and events Know the expected form of dress Don't ply guest with alcohol if driving Enjoy the event yourself also |
Office parties and the like | It is an opportunity to unwind you are expected to attend. Stay sober Don't gossip or be indiscreet The more senior the earlier you should leave Don't hold post mortems or remind everyone what they did |
Weddings | Be discreet about invitation Working specialty could be of help Behave to show that you won't take advantage Make sure the wedding gift is appropriate and valuable |
Funerals | Must take precedence all over business commitments. Business should send wreath or donation to a chosen charity under its own name but letters of condolence should be handwritten |
