double-booking | giving 2 or more pts the same appt slot with the same provider |
encryption technology | system that keeps data secure by converting them to an unreadable code during transmission and then unencrypting the information when it reaches the recipient |
fax machine | device capable of encoding documents and sending them over a telephone line; a secure fax sends fax transmissions via secure email, eliminating many of a fax's security risks |
no-show | pt who makes an appt and neither shows up nor calls to cancel; the term also refers to the appt itself (a "no-show appointment") |
patient flow | efficient movement of pts through the medical office as a product of accurately estimated pt volume, consistent prv pace, efficient scheduling practices; term generally refer to overall flow of pt but can refer to pat of an individual pt |
patient portal | secure website where a pt can access personal health info, schedule appts, and refill prescriptions 24 hours a day using a username and password. oftentimes it is part of the prv EHR system |
purging | process of separating inactive pt health records from active ones |
secure email | email system capable of transmitting an encrypted message and storing it in a coded format until it retrieved by the recipient via a secure web link |
show rate | percentage of patients in a practice who arrive for appts as scheduled or call in advance to cancel or reschedule |
telephone etiquette | polite, helpful response and respectful manner toward callers that show patients that they are cared for and valued. |
template | electronic document that has a basic format in which the req info can be entered. templates are often created for those documents that are needed over and over again, such as a new pt welcome letter. |
views | different ways of displaying the same or similar info on a computer screen, usually with an increasing or decreasing level of detail (ex. looking at an electronic calendar in daily, weekly, and monthly views) |
