Organization & Supervision in Healthcare Lesson 1

Planning | Defining objectives and devising a course of action to accomplish the objectives. Policies and procedures, goals and objectives, and budgets are tools in planning. What are we going to do, and how are we going to do it? Most important fnct of managemnt. |
Organizing | Bringing together resources in an orderly manner and arranging people in an acceptable pattern so they can perform the activities needed to accomplish the objectives. Organization charts and job descriptions are tools in organizing. 4Ms! |
Directing | Stimulating members of a work group to perform work in a manner that the objectives are met. Motivation technique, communication skills, incentive pay, and performance appraisal are tools in directing. Heart of supervision and management. |
Controlling | Guiding operations through feedback in accordance with plans and ensuring the objectives are achieved. Volume and time logs, direct inspection, and work sampling are tools in controlling. Use of productivity and accuracy data to coding or optical imaging! |
Management | Process of getting things done with and through people. Accomplishes the process using the management functions of planning, organizing, directing, and controlling. They are interrelated and cyclical. |

Planning Hierarchy | Represents the many levels of how the planning function is performed. 1) Mission Statement. 2) Strategic Plans. 3) Operational Plans |
Mission Statement | The statement or the organization's overall purpose and realistically expresses what the organization does. Broad statement. |
Strategic Plans | Directed at accomplishing the organization's mission statement. Long-term plans. 3-5 year plan. Determines the major long-term goals and objectives. |
Operational Plans | Converts strategic plans into actions that can be scheduled, monitored, and adjusted according to changing conditions and priorities. Tactical, programmatic, and financial (budget). |
Example of a Goal | To provide services that protect the confidentiality and privacy of patient health information. |
Objective | Gives specificity to goals related to the results to be achieved and are the key to management planning. A progressive process from general to functional. |
Goal | An end toward which activity is directed and provides a basis for action. A broad statement. |
Example of general objective | The HIM department will provide a system for the release of patient health information that complies with all applicable state and federal laws, regulations, and accreditation standards. |
Example of functional objective | All written authorizations for release of patient health information will be evaluated for the 13 elements required by HIPAA immediately upon receipt. |
